How to use this File Reader =========================== S - To search for a Word or Topic Arrow keys or Pg Up/Down to move within the file. How to print sections of the manual =================================== Press the 'M' key to start the mark of a block. Use the Arrow Keys or Page Down to mark the section Press the 'M' key again to end the mark of a block. The program will now pop up a Menu to print the section marked to a file or to a printer. General Info Regarding the Cash Book ==================================== The Power Till Cash Book is not a true Cash Book in the sense that there are Month end or Year end procedures. It is however a very friendly and easy to use system to keep track of every aspect of your financial life. At no stage is the user ever limited to just one set of accounts. The user can create a Cash Book for every aspect he or she wants to. My wife has an endless amount of animals and despite the fact the I could open as many accounts on a single Cash Book to cater for all the different animals, I opened a cash book just for the animals so that I could in an instant see how and where I stand financially with the expenses I incur on these creatures. 1. Getting Started ================== 1.1 Create a Cash Book ====================== Step one is to create a Cash Book. Choose the option 'Create' from the 'Cash Book' Menu and simply give the Cash Book a name. Now enter the opening date and the opening balance to the cash book. The Cash Book name can be edited on the 'Edit' option or a Cash Book can also be deleted by pressing the 'D' key. 1.2 Create Accounts for the Cash Book ===================================== Choose the option 'Ledger Accounts' under the 'Admin' menu. A Viewport will pop up giving the user the chance to :- A - Add a new Account E - To Edit an Account T - To View the Accounts in Table view K - To search for an Account via Description or the account number. When creating a new account the user can define his/her own needs as far as the different Debit and Credit accounts are concerned. NOTE !!!!! THE PROGRAM DOES NOT CHECK FOR DUPLICATE ACCOUNT NUMBERS - THE USER MUST ENSURE THAT THERE ARE NO DUPLICATES. Suggested Accounts (Debits) (Credits) --------------------------- --------- House Mortgage Salary Income Petrol Interest Earned Repairs Income from .. Groceries Income Sales Clothes Telephone Entertainment Bank Charges or even mention the debtor by name Anything else the user fancy Press A to add an Account. Give the account a number. This can be anything the user fancy - numeric/Alpha or a combination. (Remember the program does not check for duplicates - yet) Now give the account a description, and lastly say whether it is a Debit or Credit Account. The program will later split the accounts up in debits and credits. 1.3 The Budget ============== 'Budget' under the 'Admin' Menu. The program also boasts with a budget facility, where the user can create his/her standard or non standard budget for the month. Here the user can enter anything from fixed monthly bills to debit orders. Again there is a chance to differentiate between fixed Income and deductions by flagging the Budget Account with a D - Debit or C - Credit. This useful facility will later on be of immense help to the user attain where he/she stands within the financial position with the click of a button or mouse under 'View Reports' 'Budget to Balance' 2. Using The Cash Book ====================== Nothing can be easier to use the Cash Book. Move to the 'Bank' Menu and choose Debit when writing out a cheque, drawing cash or Entering Debits that go through the bank. At the same time choose the appropriate Debit Account. The user can pick the account using the cursor keys or the easier method is to just type the first couple of digits of the account name when a search box will pop up - press Enter and the program will search for the account name closest to the digits typed in. Now enter a cheque number. Here the program will check for duplicates otherwise a remark such as cash etc, can be entered into the section for the cheque number. A debit can be Held and released later on using the 'Recon' option under the 'Bank' menu. To credit the Bank Account simply choose the 'Credit' option under the 'Bank' menu. 3. Edit the Cash Book ===================== Mistakes can be rectified by entering a correcting figure with a minus amount or simply choose 'Edit Cash Book' under the 'Admin' menu. The user can change the figures or delete an entry. IN ALL CASES THE PROGRAM WILL RECALCULATE THE CASH BOOK - THE USER NEED NOT DO THIS. 4. Printing of reports ====================== This is most probably the only difficult part of the program, but also the most powerful. How to write a report. (Steps to follow) --------------------- a. Create a report by giving it a name. b. Edit the report to show what must appear in the report.(See the key to field names at the end of this manual) c. Filter the conditions by choosing the 'Query Filter' option. This can be used to print out only certain accounts, or for certain periods etc. See the Sample Cash book reports to get an idea on how to do this.
